Terms & Conditions

These Terms & Conditions apply to bookings made with Chloe Keeps Travelling for women-only small group tours, retreats and travel experiences.

Each individual tour or retreat may also have specific information relating to its dates, itinerary, accommodation, inclusions, pricing, payment schedule and cancellation arrangements. These details form part of your booking and should be read alongside these General Terms & Conditions.

By paying a deposit or making any payment towards a Chloe Keeps Travelling tour or retreat, you confirm that you have read and accepted these Terms & Conditions.

Booking Your Place

A deposit is required to secure your place on a Chloe Keeps Travelling tour or retreat. The deposit amount will be clearly stated on the individual trip page.

Your place is secured once the required deposit has been received and your booking has been confirmed by Chloe Keeps Travelling.

Some tours and retreats operate subject to a minimum number of participants. Where this applies, your booking will initially remain subject to the trip receiving its official “green light”.

The green light means that the minimum number of guests required for the trip to operate has been reached and Chloe Keeps Travelling has confirmed that the trip is going ahead.

You will be notified when your trip has received its green light.

Until the trip has received its green light, deposits will remain refundable if Chloe Keeps Travelling decides not to proceed because the minimum number of participants has not been reached.

Once the trip has received its green light and you have been notified, the cancellation terms below will apply.

Deposits

The deposit required to secure your place will be stated on the relevant tour or retreat booking page.

For trips that have not yet received their green light, your deposit remains refundable if Chloe Keeps Travelling decides not to operate the trip.

Once the trip has been officially confirmed and you have been notified that it is going ahead, the deposit becomes non-refundable, subject to any rights you may have under applicable law.

Paying in Full

Guests may choose to pay for their tour or retreat in full at the time of booking.

If you subsequently need to cancel, the cancellation and refund terms in these Terms & Conditions will apply regardless of whether you paid in full or by instalments.

Where a full-payment or returning-guest discount has been offered, any refund will be calculated according to the amount actually paid.

Payment Plans

Flexible payment plans may be available for selected tours and retreats.

Guests may choose, where available, between:

  • A payment plan arranged directly with Chloe Keeps Travelling; or

  • A payment option provided through Klarna or another third-party payment provider.

 

Where you choose a payment plan arranged directly with Chloe Keeps Travelling, you agree to make each scheduled payment in full and by the agreed payment date.

The final balance must be paid by the deadline stated in your booking information.

Payment plans do not change the cancellation terms applicable to your booking.

If a scheduled payment is missed, Chloe Keeps Travelling may contact you to arrange payment. Continued failure to make payments may result in your booking being cancelled, subject to the applicable cancellation terms and any rights you may have under applicable law.

Cancelling Your Booking

If you need to cancel your booking, please contact Chloe Keeps Travelling in writing as soon as possible.

Because our tours and retreats have a limited number of places and we make advance commitments to hotels, activity providers, restaurants, transport providers and other local suppliers, cancellation refunds are subject to the terms below.

Option 1: Transfer Your Place to a Friend

If you can no longer attend, you are welcome to nominate a friend or another suitable person to take your place.

Where your place can be successfully transferred to an approved replacement guest, you will receive a full refund of the amount you have paid.

The replacement guest must:

  • Be approved by Chloe Keeps Travelling;

  • Meet any requirements applicable to the particular tour or retreat;

  • Complete the required booking information; and

  • Pay any applicable transfer or additional supplier costs.

 

Any costs charged by hotels, suppliers, activity providers or other third parties in connection with the transfer may be payable by the replacement guest.

Your refund will be processed once the replacement booking has been confirmed and the transfer has been successfully completed.

A transfer is not guaranteed, but Chloe Keeps Travelling will make reasonable efforts to accommodate a suitable replacement wherever possible.

Option 2: Cancellation Without a Replacement Guest

Cancellation four months or more before departure
You will be entitled to a 50% refund of the amount you have paid. The remaining amount is retained to contribute towards non-refundable accommodation, supplier commitments, administration and other costs associated with your booking.

Cancellation less than four months before departure
Your booking will normally be non-refundable.

However, Chloe Keeps Travelling may make reasonable efforts to resell your place. If your place is successfully resold, Chloe Keeps Travelling will consider a refund of any amount recovered after deducting any non-refundable costs and reasonable costs associated with replacing the booking.

Any refund will be subject to the circumstances of the individual booking and applicable law.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance at the time of booking.

Your travel insurance should ideally cover:

  • Cancellation and curtailment;

  • Medical emergencies and treatment;

  • Travel disruption and delays;

  • Personal belongings and baggage;

  • Personal liability; and

  • Activities included in your chosen tour or retreat.

 

Guests are responsible for checking that their insurance provides adequate cover for their own circumstances and the activities included in their chosen trip.

Travel insurance may allow you to recover cancellation costs where your reason for cancelling is covered by your policy.

Cancellation by Chloe Keeps Travelling

Chloe Keeps Travelling reserves the right to cancel a tour or retreat where:

  • The minimum number of participants has not been reached;

  • An essential supplier or service becomes unavailable;

  • Circumstances outside our reasonable control make the trip impossible or impractical to operate; or

  • Cancellation is necessary for the safety or wellbeing of guests.

 

If Chloe Keeps Travelling cancels your trip, any refund due will be handled in accordance with the specific booking terms and applicable law.

Where Chloe Keeps Travelling cancels a trip because the minimum number of participants has not been reached, payments made to Chloe Keeps Travelling will be refunded in accordance with the applicable booking terms.

Chloe Keeps Travelling will not be responsible for additional personal expenses incurred by guests, such as flights, independently booked accommodation, visas, travel insurance or other personal travel arrangements, except where required by applicable law.

For this reason, guests are strongly advised to wait until their trip has received its official green light before making non-refundable independent travel arrangements.

Changes to the Itinerary

We carefully plan every Chloe Keeps Travelling tour and retreat, but travel conditions can change.

The itinerary may occasionally need to be amended because of:

  • Weather or sea conditions;

  • Local conditions;

  • Safety considerations;

  • Supplier availability;

  • Changes to opening hours;

  • Closures;

  • Strikes;

  • Transport disruption; or

  • Other circumstances outside our reasonable control.

 

Where a change is necessary, Chloe Keeps Travelling will make reasonable efforts to provide a suitable alternative.

Any changes will be made with the overall experience, practicality and safety of our guests in mind.

Where applicable, guests will retain any statutory rights relating to significant changes to a package holiday.

Accommodation, Activities & Local Suppliers

Our tours and retreats may include accommodation, restaurants, transport providers, local guides, boat operators, wellness practitioners, activity providers and other local suppliers.

We carefully select suppliers based on suitability, quality and guest experience.

However, individual services may occasionally need to be changed or become unavailable due to circumstances outside our control.

Where a supplier is unable to provide a service included in your itinerary, Chloe Keeps Travelling will make reasonable efforts to arrange a suitable alternative where appropriate.

Flights & Personal Travel Arrangements

Unless specifically stated as included, flights to and from the destination are not included in the tour or retreat price.

Guests are responsible for arranging their own:

  • Flights;

  • Passports;

  • Visas and entry requirements;

  • Airport transfers, unless included;

  • Travel insurance; and

  • Other personal travel arrangements.

 

Chloe Keeps Travelling will provide arrival information and recommendations to help guests plan their journey.

Guests are welcome to arrive before the official tour dates or stay afterwards where practical.

Chloe Keeps Travelling may be able to provide general recommendations and assistance with planning, but any additional accommodation, transport, activities and associated costs are the responsibility of the guest unless specifically included in the booking.

Any travel arrangements made outside the official tour dates do not form part of the tour unless specifically stated otherwise.

Health, Fitness & Participation

Guests are responsible for ensuring that they are fit and able to participate safely in the activities included in their chosen tour or retreat.

Some experiences may involve walking, uneven surfaces, steps, heat, swimming, boats, hiking or other physical activity.

Information about the expected level of activity will be provided where relevant.

Guests should inform Chloe Keeps Travelling before travel of any medical conditions, allergies, mobility requirements or dietary requirements that may reasonably affect their participation or the provision of services.

Providing this information does not guarantee that every request can be accommodated, but it allows us to make reasonable arrangements where possible.

Guests are responsible for following reasonable safety instructions provided by Chloe Keeps Travelling, guides, activity providers and other suppliers.

Passports, Visas & Entry Requirements

Guests are responsible for ensuring that they hold a valid passport and meet all applicable visa, entry, vaccination and travel-document requirements for their destination.

Chloe Keeps Travelling can provide general travel information and recommendations but cannot accept responsibility for a guest being unable to travel because they do not have the required documentation or permission to enter a country.

Guest Conduct

Our tours and retreats are designed to provide a welcoming, respectful and enjoyable experience for everyone.

Guests are expected to behave respectfully towards other guests, Chloe Keeps Travelling, local residents, suppliers and staff.

  • We reserve the right to take appropriate action where a guest’s behaviour is:

  • Abusive or threatening;

  • Seriously disruptive;

  • Unsafe;

  • Illegal; or

  • Seriously detrimental to the experience or safety of other guests.

 

Where necessary, a guest may be asked to leave an activity or the tour or retreat.

Guests are responsible for any loss or damage they personally cause through their deliberate or negligent actions.

Any consequences regarding refunds will depend on the circumstances and applicable booking terms and will be subject to the guest’s statutory rights.

Responsibilities & Liability

Chloe Keeps Travelling will provide the services included in your booking with reasonable care and skill and in accordance with applicable law.

Where Chloe Keeps Travelling is acting as the organiser of a package holiday, the applicable package travel regulations and associated consumer protections will apply.

Nothing in these Terms & Conditions is intended to exclude or limit any liability or legal right that cannot lawfully be excluded or limited.

Unavoidable & Extraordinary Circumstances

Events outside the reasonable control of Chloe Keeps Travelling may affect a tour or retreat.

These may include serious weather events, natural disasters, war, terrorism, serious disease outbreaks, government restrictions, major transport disruption or other unavoidable and extraordinary circumstances.

Where such circumstances affect a trip, Chloe Keeps Travelling will act reasonably and in accordance with applicable law and the specific terms of the booking.

Photography & Video

Photography and video may be taken during our tours and retreats for use on the Chloe Keeps Travelling website, social media, marketing materials and future promotional content.

If you do not wish to appear in promotional photography or video, please inform Chloe Keeps Travelling before or during the trip.

We will make reasonable efforts to respect your request.

Complaints

If you experience a problem during your tour or retreat, please tell Chloe Keeps Travelling or the relevant local representative as soon as reasonably possible.

Reporting a problem promptly gives us the best opportunity to investigate the issue and, where possible, put things right during your trip.

If you have a complaint after returning home, please contact Chloe Keeps Travelling as soon as possible with details of the issue.

Package Travel & Financial Protection

Where a Chloe Keeps Travelling tour or retreat falls within the definition of a package holiday under applicable law, the relevant package-travel protections and insolvency protection requirements will apply.

Any information regarding applicable financial protection will be provided as required by law as part of the booking process.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales, unless applicable mandatory consumer protection legislation provides otherwise.

Any disputes will be subject to the jurisdiction of the courts applicable under relevant consumer protection law.

Acceptance of Terms

By paying a deposit or making any payment towards a Chloe Keeps Travelling tour or retreat, you confirm that you have read and understood these Terms & Conditions and any specific Terms & Conditions or booking information provided for your chosen trip.
